Utilergy are committed to protecting the privacy of your personal data to maintain confidence and integrity throughout our business operations.  Therefore, we will only request personal information where we have a valid reason to do so.  We are required to register with the Information Commissioner’s Office and our registration certificate reference is ZB438833

GDPR

We only request personal data to allow verification and eligibility to perform services for our company in its entirety.  Utilergy may collect and store the following types of personal data.

  • Employment and supplier services such as: name, date of birth, gender, home address, employment training history, driving licence, proof of right to work, email address, mobile number, banking details, court orders & HMRC details and any medical or any special categories of data such as occupational health records required to continue ongoing treatments or monitoring of existing conditions.

We will make sure that personal data we collect from you is necessary and relevant to our business performance needs and contractual requirements. We will collect your personal data by way of return of standard company forms, so we request the minimum data required.

If we have reason to believe there may have been a security breach which affects the personal data we hold, we will ensure this is reported to the appropriate bodies as soon as we become aware of the breach. This is outlined in our Cyber Security Policy.

We may also need to share your personal data with other departments within our business or with external agents or subcontracts, who provide services on our behalf.  The personal data is necessary, so we are compliant with all relevant legislation.  Your information will never be sold or otherwise shared for profit or otherwise.

The personal data we collect is not transferred to countries outside the EEA.

Where we intend to have a contract with an individual or an organisation, we will need to process their personal data to comply with our obligations under the contract.

Where we enter into a contract with an individual or organisation, we will need to process their personal data so they can comply with specific counter-obligations under the contract such as processing payment details, professional registration, financial information, customer performance, accounts, recordkeeping and professional qualifications, such as professional bodies for registration, training, and authorisation purposes.  We may need from time to time provide your details to organisations that have requested emergency assistance for the services we provide.

Depending on the nature of the information, will depend on how long the data is stored within our organisation to comply with our legal obligations.

We will only hold personal data on our records for as long as we need to.  Our accountancy and payroll records must show we have reported accurately. We need to keep these records for 6 years from the end of the last company financial year to which they relate.

Where court order is served it, we may be required to process personal data for a particular purpose.

It may be necessary to share personal data to protect someone’s life, such as giving relevant personal data for medical purposes, where the individual is incapable of giving consent to processing.

The request should be done using our Subject Access Request Form and we have one month to respond to you.

We run Google Analytics on our website to help us see how we’re doing. This doesn’t provide us with your personal information.

We don’t collect any personal data from you on our website.

We don’t ask you for any specific personal data when you contact us, so please only submit information relevant to your initial enquiry. Anything you do send us via email will be used for the purpose of your enquiry and subsequent service provision and nothing else.

Cookies

Marketing

We don’t run marketing campaigns and have no database of client data for email campaigns, etc, and no plans to do so.
